Terms of service
Draft of 25 October 2026.
This is a translation. In case of discrepancies, the Polish version prevails.
§ 1. General provisions
- These terms set out the rules for using the gluu.events website (the “Website”) and the Gluu application available at app.gluu.events (the “Application”).
- The Website and the Application are run by Substancja Wiążąca sp. z o.o., with its registered office in Warsaw, ul. Chmielna 2 lok. 31, 00-020 Warszawa, Poland, entered in the Register of Entrepreneurs of the National Court Register kept by the District Court for the Capital City of Warsaw, 12th Commercial Division, under KRS number 0001261652, tax ID (NIP) 5253102845, REGON 545522297, share capital PLN 5,000 (the “Provider”). Contact: kontakt@gluu.events.
- These are the terms referred to in Article 8 of the Polish Act of 18 July 2002 on providing services by electronic means.
- Definitions:
- Customer (Organiser): a business that has created an account in the Application to organise events.
- User: a person in the Customer’s team: the person who created the Customer’s account or a person invited to the team by another User, for example the Customer’s employee.
- Guest: a person invited to the Customer’s event or registering for it through the event page, including an accompanying person and a child.
- Message: an email the Application sends to a Guest on the Customer’s behalf: an invitation, a save the date, a reminder, the Customer’s own message or a confirmation of the Guest’s reply.
- Anyone may use the Website. Only a business may create an account in the Application; the Customer is not a consumer within the meaning of Article 22¹ of the Polish Civil Code.
§ 2. Services on the Website
- Through the Website the Provider offers, free of charge and by electronic means, information about the Application and about organised events.
- The agreement to provide information is concluded when you open the Website and ends when you leave it.
- Descriptions and prices of services on the Website are for information only. They are not an offer within the meaning of Article 66 of the Polish Civil Code but an invitation to conclude a contract (Article 71 of the Civil Code).
- A contract for an event organised by the Provider is concluded separately, once the date, scope and price are agreed. It is not a service of the Application.
- The Provider may decline to answer an enquiry that breaches the law or these terms.
§ 3. Services in the Application
- In the Application the Provider offers in particular: running events and task lists, the event page, the Guest survey, the Guest list with the Customer’s people catalogue, sending Messages and the connection with AI assistants (ChatGPT, Claude).
- Using the Application is free of charge within these limits: up to 250 invitations per event and up to 5 events in preparation at a time.
- Terms beyond these limits are agreed individually in a separate contract.
- The agreement to use the Application is concluded when the Customer’s account is created and lasts until that account is deleted. Each User may delete their own account at any time. The Customer’s account is deleted together with the account of the last User in the team. The Provider permanently deletes the Customer’s data, including Guest data, 30 days after the Customer’s account is deleted; until then it may restore the account at the Customer’s request.
- All of the Customer’s Users have equal rights: each can access all of the Customer’s events and Guests and its invoice details, invite new people to the team and remove other Users. The last User cannot leave the team. A User belongs to one team at a time.
§ 4. Technical requirements and risks
- To use the Website and the Application you need a device with internet access and an up-to-date web browser.
- Using the internet carries typical risks, such as malware and phishing. The Provider never asks for passwords or payment card details, neither by email nor by phone.
§ 5. Personal data and Guest data
- The processing of personal data is described in the Privacy policy.
- The controller of Guests’ personal data is the Customer. The Provider processes it only on the Customer’s behalf and instructions, to the extent needed to run the event (Article 28 GDPR).
- The terms of processing Guests’ data are set out in the Data processing agreement (gluu.events/en/dpa), annex 1 to these terms. The Customer concludes it together with these terms.
- The Customer is responsible for having a legal basis to enter Guests’ data into the Application and to process it, and for informing Guests about the processing of their data.
- The Customer answers Guests’ requests concerning their data (Articles 15–22 GDPR). The Provider forwards any such request it receives to the Customer without undue delay and helps the Customer fulfil it.
§ 6. Sending Messages to Guests
- The Customer may send Messages only to people with whom it has an existing relationship, in particular its employees, collaborators, clients and business partners. Messages may concern only the event to which the Customer invites these people.
- The Customer declares and is responsible for having a legal basis to send each Message, including the recipient’s consent where required by the rules on commercial communication and direct marketing by electronic means. At the Provider’s request, the Customer shows where the addresses come from and on what basis it sends Messages to them.
- It is forbidden to:
- enter addresses that were bought, rented, obtained from third parties for sending, or collected automatically from the internet;
- send Messages to people with whom the Customer has no relationship described in point 1;
- send content unrelated to the event through the Application, in particular advertising, commercial offers and newsletters;
- give false information in a Message about its sender or purpose.
- Every Message sent to many Guests includes an unsubscribe link. A Guest who unsubscribes stops receiving Messages from that Customer, including about its later events. The Customer may not get around this, in particular by adding the Guest again under the same or another address. Only the Guest can reverse the unsubscription: through the same link in any Message received earlier, which opens a page with a button to restore it. The Provider does not restore sending at the Customer’s request.
- The Application treats a Guest’s spam report about a Message as unsubscribing.
- Messages are sent by the Provider from its own domain. A Message states that the sender is the event organiser using Gluu. Messages contain no elements that track opening.
- All Customers share the same sending infrastructure, so a breach of points 1–3 by one Customer harms the others. The Provider may therefore suspend sending Messages for a Customer if:
- Guests report the Customer’s Messages as spam (the Provider reviews the Customer’s account from three reports within 30 days);
- a significant share of the Customer’s Messages is not delivered because the addresses do not exist;
- the Customer breaches points 1–3.
- A suspension covers only sending Messages. The event page, Guests’ replies and the other functions of the Application keep working.
- The Provider informs the Customer about the suspension and its reason. The Customer reports that the reason has been removed to kontakt@gluu.events. The Provider reviews the report and answers within 10 business days; sending resumes once the reason is removed.
§ 7. Rules of use
- You may not provide unlawful content to the Website or the Application, in particular on the event page or in Messages.
- The Customer is responsible for the content of events, event pages and Messages, and for the actions of its Users, including actions performed through connected AI assistants.
- The Customer keeps its access credentials confidential, including the connector access keys.
§ 8. Liability in the Application
- The Provider makes every effort to keep the Application running without interruption and does not guarantee its continuity.
- The Provider is not liable for Messages not delivered for reasons on the side of recipients’ mail servers, or for the effects of incorrect data entered by the Customer.
- The Customer releases the Provider from liability towards third parties, including data protection authorities, for claims arising from the Customer’s breach of § 5 point 4 or § 6.
§ 9. Termination and account blocking
- The Provider may block the account or terminate the agreement with immediate effect if the Customer seriously or persistently breaches these terms, in particular § 6 points 1–3 or § 7 point 1. The Provider informs the Customer about the blocking and its reason.
- Before its data is deleted after termination, the Customer may export it within a period set by the Provider, no shorter than 14 days, unless keeping the data longer would breach the law.
§ 10. Complaints
- Complaints about the Website or the Application can be sent to kontakt@gluu.events. A complaint should include contact details and a description of the problem.
- The Provider answers a complaint within 14 days of receiving it.
§ 11. Final provisions
- The Provider may change these terms for important reasons, in particular changes in the law or in the scope of services. A change applies from its publication on the Website, and to Customers 14 days after they are notified of it. A change does not affect enquiries sent earlier. A Customer who does not agree may delete the account before those 14 days pass.
- Polish law applies to matters not covered by these terms.
- Disputes with Customers are settled by the court competent for the Provider’s registered office.
- These terms do not limit consumer rights under mandatory provisions of law.
